What is Record?
Companies today
have the ability to keep so much information that it quickly
becomes incomprehensible to understand in actual pages.
Companies don’t realize that they only need to keep “records,”
and that “records” are defined as something that has “legal,
fiscal, or administrative” value for business continuity. Here
are some examples

HIPAA Patient Information Security And Privacy
Mandates Strengthens
As argued here,
document management and compliance is one of the major challenges
facing HCOs (HCO) in the new HIPAA environment. An important part of
the HIPAA gap analysis process should involve examining the entire
range of their printed reports, whether generated by legacy systems
or newer applications, and evaluating how these reports are
distributed and accessed against the new HIPAA "minimum necessary"
standards. Even a medium sized HCO today may generate upwards of
1,500 regular reports from 10 to 15 more different computer systems
in multiple locations. These reports are then distributed to many
hundreds of users throughout the health care organization,
frequently to widely dispersed locations. In addition to determining
and managing compliance with the "minimum necessary standard," there
is the added burden of assuring the security of these physical
documents as they move around the highly open and sometimes chaotic
environment of the HCO.
Most HCOs have
no clear idea of how many reports they print and distribute, who
they go to, or what their current process costs them. It is not
uncommon for a medium sized HCO to print 1-2 million pages per
month, 12-24 million pages per year. At 5 cents per page, the cost
would be $600,000 to $1,200,000 per year. When softer costs and
benefits are included, such as the value of having information on
time and the productivity increase for information users, the
economics benefits increase even further.
Fortunately this
occasion for concern can also be a great opportunity. Today’s
best-of-breed enterprise report distribution solutions can provide
an extremely rapid return on investment as well as enormous and
relatively painless productivity gains. And, these solutions may be
the only practical way for many HCOs to achieve, manage and document
compliance with HIPAA. HIPAA may be the factor that finally forces
many HCOs revise their business practices and adopt automated report
distribution and technology.

Taking Care of
your External Hard Drives
Take care of your
external hard drives. They are not bullet proof. When you have them
plugged into your USB port, they are spinning. If you accidentally
knock them over, you will most likely crash the hard drive because
the read/write head will hit the disk very forcefully thus damaging
the hard drive. When you unplug the hard drive, it will park that
hard drive head securing it in place. So if you accidentally drop
the hard drive, your chances of it working is better.

Remembering 911
Its hard to believe
its been 6 years since that terrible day. I always reflect back to
what I was doing. I was at a client in Chicago IL sitting at a desk
when one of our team members came in and said, “An Airplane just hit
one of the towers!” A partner of mine looked at each other and said
“NO WAY”. A TV was on in another office and we proceeded to go over
and watch the events unfold. In order to get home that week, I
rented a car and drove home to Reagan National Airport where my car
was. As I drove out of the parking lot, a very weird sensation came
over me. The parking garage was almost empty and I didn’t have to
pay. It really hit home, when I drove by The Pentagon and saw the
smoke, debris and tail of the aircraft sticking out of the building.
Absolutely and Incredible Feeling
After six years,
I’m hoping we all have learned from that day regarding security of
our nation, dealing with new procedures on terrorism and safety of
our business assets. You can’t help but think about those businesses
in the towers and what they had to do to recover their
information.
